    We are seeking an Administrative Assistant at our Madison, WI location to provide secretarial, clerical and administrative support to the Facility Management (FM) department.


    Duties and Responsibilities:

    • Provides administrative support to the leadership of the assigned Facility Management department 
    • Acts as a liaison between FM Management, contractors, consultants and others on all matters relating to FM efforts within the department.
    • Serves as a front line information source.
    • Supports efforts in scheduling activities (e.g., contractor visits, travel arrangements, scheduling meetings, maintaining calendars, agendas & minutes, obtaining and tracking financial and/or manpower data, milestone scheduling and entry, etc.).
    • Reviews, proofs and types reports/documents/minutes.
    • Provides SOP coordination support
    • Maintains central FM files.
    • Provides RCP support.
    • Performs other related duties as assigned.

    • Associates Degree in secretarial or related field.
    • Requires unquestionable customer skills, meticulous, effective interpersonal skills, and ability to be persistent while maintaining tact.
    • Strong English writing and communication skills.
    • Ability to type 50 wpm preferred.
    • Advanced knowledge of computers and programs (e.g., MS Office).




    • 5 years of experience working in secretarial or related field.
